JOB SUMMARY

The Senior Assistant Director of Graduate Admission, SLIS & Ifill will play a central role in managing the admission process for graduate programs in the School of Library and Information Science and the Gwen Ifill School of Media, Humanities, and Social Sciences. Flexible and creative, the Senior Assistant Director is a proactive communicator with strong interpersonal, customer service, and presentation skills, a highly developed attention to detail, and has the ability to succeed in both an individual and team setting.

ESSENTIAL JOB FUNCTIONS

  • Ensure excellent customer service by email, text, phone, and Zoom to respond daily to incoming questions from students; and proactively reach out to students to influence their decision to apply and enroll.
  • Collaborate with the Director and University Communications to create outreach from prospect stage through matriculation; including Slate email campaigns, print pieces, presentations, advertisements, and marketing content that positively affects the applicant experience during the admission process.
  • Review admission applications in Slate and provide admission and scholarship recommendations to the Director.
  • Manage the decision letter process in Slate, including creating, updating, and releasing a variety of admission and scholarship letters.
  • Plan and present at on campus and virtual webinars and events, and represent graduate programs at local and national recruitment fairs and conferences.
  • Provide in-office coverage 3 days per week to meet with prospective and admitted students visiting campus to answer their questions.
  • Hire, train, manage, and coordinate schedules for remote and in-person graduate student employees who provide a current student's perspective through campus tours, events, chat, and other outreach.
  • Understand the competitive landscape and be well-versed in admission trends and best practices, especially in the field of graduate admission.
  • Represent the Director to Deans, Directors, faculty, internal offices, and external constituents when the Director is not available.


OTHER DUTIES AND RESPONSIBILITIES

REQUIRED QUALIFICATIONS
  • Bachelor's degree from a regionally accredited college or university.
  • At least 3 years graduate or undergraduate admission experience, preferably at a non-profit college or university. Other types of work experiences may include academic advising, financial aid, college counseling, career services, or areas of higher education that are heavily student-facing.
  • Proficiency with Google Workspace, Zoom, as well as Slate or another CRM.
  • Valid US driver's license and ability to rent a car, as travel will be required to areas not served by public transportation or reliable taxis.
  • Passport or REAL ID will be required before the government deadline (currently May 2025), as this position requires 4+ flights per year.


PREFERRED QUALIFICATIONS
  • Academic or work experience in one or more of the fields offered by SLIS and Ifill (Library and Information Science, Children's Literature, Gender and Cultural Studies, Public Policy, and History).
  • Master's degree from a regionally accredited college of university.
  • Proficiency with Workday and Canva.

WORK ENVIRONMENT & CONDITIONS/PHYSICAL DEMANDS
  • Hybrid eligible, with 3 days per week on campus when not traveling.
  • 12 months at 40 hours/week, though weeks may last longer than 40 hours at certain times in the recruitment cycle; especially while traveling, and during peak application review times.
  • Work is performed in a setting with moderate noise levels, controlled temperature conditions, and no direct exposure to hazardous physical substances.
  • Generally sedentary office environment with significant time operating a computer. During the peak of the application review period in February, the Senior Assistant Director may be reviewing applications on a computer screen for 8+ hours per day.
  • Communicate with others in-person and by email, video conferencing, and telephone.
  • Evening and weekend work will be required to attend graduate fairs and conferences (~10 weekend days per year) as well as to provide monthly evening or weekend in-person and virtual information sessions.
  • Some travel to recruitment events is required, typically a mix of local events and 5-10 short overnight trips per year. The Senior Assistant Director must be confident with traveling independently, including driving for several hours per day, flying, and staying overnight up to 5 nights in a row. Work days during recruitment events may last 12 hours or longer.
  • Lifting of recruitment materials, up to 50 pounds.
