Information Officer - Office of Undergraduate Admissions

Requirements

The primary function of the Information Officer position is to guarantee an effective public relations environment for the Office of Undergraduate Admissions. The Admissions Office receives nearly 60,000 visitors, countless phone calls and emails annually. The Information Officer is a high impact position due to the number of contacts that the incumbent has with various University constituents including current students, faculty, staff, prospective and admitted students, parents, college counselors, alumni and friends of Georgetown. The person in the position must be aware of the current happenings on campus and must also be able to handle callers, visitors and emails with a variety of issues. Additional duties include, but are not limited to:

Admissions Office Operations
  • Direct the student workers in their interactions with callers to the admissions office.
  • Oversee the schedules of the student workers who staff the Phone Room and admissions office front desk.
  • Respond on a daily basis to the email communications from the many office constituents that come to the main admissions email account.
  • Train the student work force to us Slate (the admissions information system) to track pertinent information and respond to callers' inquiries.
  • Assist the Director of Campus Programs in managing the event registration process through Slate, keeping the phone room neat and clean.

Admissions Office Reception Area & Information Session Room
  • Oversee occasional staffing the admissions office reception desk.
  • Greet and assist each person who enters the admissions office, including notifying the Dean and Director of any visitors or callers.
  • Set up the seminar room for daily information sessions, which includes preparation of audio and video elements of the presentation, restocking brochures and maps, keeping inventory of supplies, arranging the room in the proper manner, and ensuring that visitors are scheduled in a manner that is appropriate for our facilities.
  • Ensure that the reception area and information session room are neat and clean at all times.


General Duties
  • Schedule the daily use of the information session and conference rooms.
  • Accommodate special groups for information sessions and tours, which includes confirming visits, arranging for tour guides when needed and sending follow-up correspondence.
  • Assist the admissions officer "on duty" when necessary, in handling campus visitors, duty calls and conducting information sessions.
  • Receive RSVPs for various office functions, and generating lists of nametags for these functions.
  • Aid the campus programs team in securing tour guides when needed.

Work Interactions

The person in the position must be able to manage the nearly 60,000 visitors that come to campus to attend an information session and campus tour. The incumbent must also coordinate with the admissions officers to help with campus visitors. Maintaining and monitoring the flow of visitors is essential especially during our high-volume times of year. In addition, the incumbent assists all visitors and callers to the office in a courteous manner, answers all email inquiries, accurately codes information from phone calls and campus visits and assists with special projects as needed. The position requires occasional weekend work. This position reports to the Director of Campus Programs but must work with all other areas of the office including Operations, Alumni Admissions and Admissions Officers.

Requirements and Qualifications
  • Bachelor's degree
  • 2 years of relevant experience
  • College admissions experience or special training in a college/educational environment is highly desired

Pay Range:

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is:
$19.20 - $28.70

Compensation is determined by a number of factors including, but not limited to, the candidate's individual qualifications, experience, education, skills, and certifications, as well as the University's business needs and external factors.
